Vox AI ("we," "our," or "us") operates a WhatsApp-based AI messaging and CRM platform accessible at voxai-dashboard-theta.vercel.app. Our platform enables businesses to manage WhatsApp conversations, automate responses via AI, and communicate with their customers at scale using the Meta WhatsApp Business API.

This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it. By using Vox AI, you agree to the practices described in this policy.

Scope: This policy applies to all users of the Vox AI platform, including business customers who connect their WhatsApp Business accounts, and end users whose messages are processed through our system.

Information We Collect

We collect the following categories of information when you use Vox AI:

  • Account Information: Name, email address, and business details when you register
  • WhatsApp Business Data: WhatsApp Business Account (WABA) IDs, phone number IDs, and access tokens obtained through Meta's Embedded Signup flow
  • Message Content: WhatsApp messages sent and received through your connected business number, stored for CRM and conversation management purposes
  • Contact Data: Phone numbers and names of your WhatsApp contacts and leads
  • Usage Data: How you interact with our dashboard, features used, and session information
  • Technical Data: IP address, browser type, device information, and webhook logs
  • Meta API Data: Data received from Meta's WhatsApp Business API including message statuses, delivery receipts, and template information

How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain the Vox AI platform and its features
  • To send and receive WhatsApp messages on behalf of connected business accounts
  • To power AI-driven automated responses through our n8n workflow integrations
  • To display conversation history and lead data in the dashboard interface
  • To manage message templates and WhatsApp Business Account settings
  • To monitor platform performance, resolve bugs, and improve our service
  • To communicate with you about your account, updates, or support requests
  • To comply with legal obligations and Meta's platform policies
03 — WhatsApp & Meta

WhatsApp & Meta Data

Vox AI integrates with Meta's WhatsApp Business Platform. When you connect your WhatsApp Business Account to our platform:

  • We receive and store messages via Meta's Cloud API webhooks
  • We access your WABA and phone number data using permissions granted during Embedded Signup
  • We send messages on your behalf using your connected WhatsApp Business number
  • Message data is processed in accordance with both this policy and Meta's own Data Policy

Important: Vox AI uses Meta's official WhatsApp Business API only. We do not use any unofficial or third-party WhatsApp integrations. All data exchanged with Meta is governed by Meta's Business Data Processing Terms.

We use the following Meta permissions: whatsapp_business_messaging (to send and receive messages) and whatsapp_business_management (to manage WABA settings, templates, and onboard business customers).

04 — Sharing

Data Sharing & Third Parties

We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:

  • Meta / WhatsApp: As required to operate the WhatsApp Business API integration
  • n8n (workflow automation): Message data is processed through n8n workflows for AI automation; n8n operates under its own privacy policy
  • Vercel (hosting): Our dashboard is hosted on Vercel's infrastructure
  • Service providers: Trusted vendors who assist in operating our platform, bound by confidentiality agreements
  • Legal requirements: When required by law, court order, or to protect our rights and users
05 — Storage

Data Storage & Retention

Your data is stored on secure cloud infrastructure. We retain data for as long as your account is active or as needed to provide services. Conversation and message data is retained to power the CRM features of our platform.

You may request deletion of your data at any time by contacting us at the email below. Upon verified request, we will delete your personal data within 30 days, except where retention is required by law.

Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data ("right to be forgotten")

Vox AI is a business platform not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us immediately and we will delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and notify registered users by email where appropriate.

Your continued use of Vox AI after any changes constitutes your acceptance of the updated policy.
